Account Receivable - Collection Specialist

Full Time

Remote - US

In this role you will be responsible for all assigned Accounts Receivable for VMS (Vendor Management System) and non-VMS clients. The ideal professional will demonstrate an aptitude for managing and sustaining client relationships, be a self-starter and have excellent written and verbal communication skills. The successful candidate will also have a strong working knowledge of client reporting, large data manipulation and detailed data tracking.

In this role you will:
  • Collect/reconcile past due invoices from customers and assigned VMS (Vendor Management System) accounts receivables for assigned regions.
  • Review billing discrepancies including over-payments and short payments and resolve in a timely manner by requesting a credit memo or issuing a refund.
  • Request and pursue payment on delinquent accounts via communication with account holder.
  • Maintain a log of payment promises and pertinent account details; schedule follow-up communication with account holder.
  • Search within our databases and on client sites to find the right person to get past due invoices paid.
  • Work directly with the responsible Billing Specialist to ensure proper documentation exists for any adjustments that have caused an AR issue and then make sure the appropriate adjustments are in the system.
  • Through excellent documentation and follow-up activity, be able to discuss the status of each account
  • Document all discrepancies in Financial System and track them to resolution.
Ideally you will have:
  • Experience working with Microsoft Office and Outlook
  • Excellent MS Excel skills – Will need to be able to manage and manipulate large amounts of data
  • Highly organized/excellent documenter – Will have weekly AR or Unapplied meetings
  • Excellent written and verbal communication skills
  • Must be able to perform duties with minimum supervision, and participate in cross-functional projects as scheduled
  • Willingness to learn, grow and accept new responsibilities and interact as part of a team
  • Very detail-oriented with ability to maintain thorough documentation of activities and processes
  • Bachelor’s Degree preferred or minimum of one-year related experience and/or training
  • Effectively secure prompt payment from customers while employing commercial sensitivity, business acumen, and good judgment
