What You Will Be Doing:
- Offer comprehensive secretarial and administrative support within a team of 2 or 3 Legal Administrative Assistants (LAAs).
- Manage and uphold efficient office procedures while adhering to Firm policies; cultivate collaborative relationships and foster teamwork.
- Collaborate effectively with fellow LAAs within the designated team; provide backup assistance to other LAAs when necessary and volunteer for additional tasks when feasible; thrive in a shared workspace accessible to lawyers and other LAAs.
- Provide mentorship, share expertise, and address Firm policies and procedures for assigned LAA colleagues; offer guidance as needed and lead by example.
- Arrange client meetings, reserve conference facilities, coordinate audiovisual equipment, and manage catering needs through CovReservations; register Firm guests with Security/Client Services.
- Facilitate all aspects of lawyers’ travel arrangements (both domestic and international), prepare travel schedules, process reimbursements promptly, maintain Outlook calendars, and monitor important deadlines for lawyers as required.
- Coordinate communication and organize essential information with team members.
- Monitor lawyers’ incoming emails as instructed, answer phones, and direct callers; accordingly, greet and assist visitors as needed.
- A High School diploma is a prerequisite.
- College education is highly recommended.
- Previous experience in secretarial or administrative roles is indispensable.
- Superior written and oral communication abilities are necessary.
- Outstanding interpersonal and organizational skills are required.
- Keen attention to detail and adeptness at multitasking in a fast-paced setting are crucial.
- Capacity to prioritize tasks and orchestrate workflow is essential.
- Ability to uphold confidentiality is imperative.
- Proficiency in managing workflow and assigning tasks as needed is vital.
