Job Description:
- Manage day-to-day activities of the Denver office. Seek out assistance requests from other departments. Manage office reception, mail, messenger services, FedEx, internal mail, any planned internal moves and furniture delivery and ordering.
- Receives visitors while maintaining the upmost security of the suite, also provides refreshments and notifies the appropriate parties of all incoming visitors.
- Function as Administrative Assistant to the COO.
- Maintain the inventory of office supplies and non-IT office equipment, furniture, plants, artwork and other assets.
- Provides administrative support for all staff, including:
- Coordinate weekly lunches for the Denver staff and on-site and off-site social events
- Communicate/Distribute incoming correspondence
- Arrange for outgoing correspondence or packages
- Arrange meeting and conference calls as requested
- Assist with mass mailings
- Organize files; email filing as needed
- Handle various administrative requests
- Receiving and prioritizing mail and shipments
- Supplying and conducting inventory of kitchen and work rooms
- Ensures the proper ordering and maintenance of all office supplies and groceries
- Maintains the order and appearance of the Denver office
- Maintains the order of the kitchen and work rooms
- Maintains the recycling program
- Maintains office equipment and contacts vendors for necessary repairs
- Help coordinate building improvements, repairs, maintenance, parking assignments and office moves for the Denver location. Help to manage off-site and on-site storage as needed. Obtain janitorial and other office maintenance services as requested.
- Receives, logs-in and distributes invoices and mail to the appropriate departments.
- Logs incoming checks, make copies for accounting and complete electronic deposits.
- Manage and perform special projects as requested by other departments.
Experience:
- 5+ years of relevant prior work experience in a professional office environment in administrative capacity, possessing a professional and positive attitude.
- Detailed knowledge of administration practices for an office environment.
- Strong proficiency in Microsoft Office business applications, especially Excel, Word and Outlook.
- Well-developed interpersonal and communication skills.
- Detail oriented with ability to work well independently and ability to organize and manage multiple priorities.
- Professional maturity, discretion, and cooperation in dealing with people at all levels inside and outside the Company.
