Our client is looking for a Mail Specialist for a 12-month contract in Woodland Hills, CA 91367.

Contract Duration: 12 Months What You Will Be Doing Daily Responsibilities
  • Processes various outgoing mailing projects, including but not limited to folding, inserting, addressing, and applying postage to mail pieces.
  • Adhere to quality requirements in order to ensure mail is prepared and submitted to the USPS and/or outside vendors according to postal standards.
    This includes understanding postage rates as well as knowing the difference between various types and classes of mail.
  • Works closely with management to identify/implement Lean initiatives for continuous operational improvement.
  • On a daily basis collect, process, return, and/or redistribute mail coming directly from the company campus, inner office, or via the USPS.
  • Special attention and responsiveness will be given to all time-sensitive, confidential, critical, and accountable mail.
  • Monitor and control various special or daily projects to completion. This includes understanding the scope, asking clarifying questions, and ensuring service level agreements and
    commitments are met.
  • Adhere to quality requirements to ensure mail is prepared according to postal standards.
  • Sort and meter incoming campus mail, ensuring the correct cost code and postage rates are used.
  • Prep and prepare time-critical Certified, Certificate of Mail, Registered mail, and Express mail.
  • Process miscellaneous requests and complete mail processing tasks as needed based on workload and/or staffing availability.
  • Document jobs processed for reporting and job tracking functions, including but not limited to incoming job log(s), daily mail request log, and other logs as required.
  • Document existing/new procedures and special instructions for various jobs to ensure job reference sheets are up to date.
  • Utilize the people finder database, or other methods, in order to find and locate specific individuals/departments ensuring all applicable mail pieces are accurately and
    expeditiously redirected to the appropriate location.
  • Conduct research and investigate unidentifiable mail, utilizing multiple company databases looking for the correct forwardable location.
  • Provide management with search results for all unsuccessful forwards in order to determine the next processing steps.
  • Operate various automated machinery including meter machines, table-top folders, inserters, and/or other equipment as needed.
  • Perform expected machine maintenance tasks in a proper and timely fashion.
  • Transport completed mail projects directly to the local Post Office, including but not limited to, sensitive and time-critical proof of mail, Express Mail, or other accountable and
    tracked mail.
  • Pick-up and/or deliver mailing projects to and from outside vendors on an as-needed basis.
  • Ensure the integrity, accuracy, safety, and confidentiality of mail handled by Mail Services is within accordance to the company’s internal policies and compliance standards.
  • Handle customer questions, requests for information, or special mailing requests via email or phone.
  • Communicate with outside suppliers as needed to ensure uptime on equipment while documenting machine issues and service calls.
  • Work closely with management to identify/implement Lean initiatives for continuous operational improvement.
