Grow your career as a Senior Executive Assistant with an innovative global bank in New York, NY. Contract role with strong possibility of extension. Will require working a hybrid schedule 2-3 days onsite per week.
Join one of the world's most renowned global banks and trusted brand with over 200 years of continuously evolving financial services worldwide. Will support senior leadership team by handling correspondence, managing calendars and appointments, arranging conferences and conference calls, making travel arrangements and providing other administrative support. Additionally, will involve an element of executive project work to help manage the team’s overall portfolio of work and will also have business unit manager responsibilities. You will work alongside some of the smartest minds in the industry who are excited to share their knowledge and to learn from you.
Contract Duration: 7+ Months
- Bachelor's/University degree.
- Follow up skills with strong attention to detail and ability to multitask and prioritize.
- Highly proficient in Microsoft Office (Word, PowerPoint, Excel, Outlook, Teams).
- Positive attitude and strong work ethic.
- Excellent organizational skills and ability to work proactively without close supervision.
- Consistently demonstrates clear and concise written and verbal communication skills.
- Demonstrated ability to quickly gain command of new systems.
- Previous office administration experience within a large and complex financial services or similar organization.
- Previous project and deck preparation experience.
- Directly support a C16 level manager and generally support the broader leadership team.
- Manage day to day calendar(s) of senior management.
- Coordinate all aspects of executive level manager appointments, meetings, receptions and conference calls.
- May prepare and review materials and correspondence for meetings.
- Assist with creation/modification of presentations, spreadsheets, and other various documents.
- Coordinate travel arrangements; prepare and distribute schedules/agendas for travel.
- Prepare, reconcile, and track expense reports through Travel and Entertainment Expense system.
- Order supplies and process invoices through Procure to Pay system.
- Process and follow-up on Virtual Requests.
- Assist in ad-hoc strategic projects as needed.
- Train, coach or guide other administrative staff when required.
- Provide business unit manager support, such as headcount and budget tracking, approvals and reporting, contractor and consulting management (budgeting, contractual, onboarding, etc.), staffing plans and models, organizational design and metrics, location strategy, Voice of Employee management, communication management (Town Halls, website, newsletters).
