Required Skills & Experience
- 2+ years of administrative or business support experience, or equivalent demonstrated through one or a combination of the following: work or consulting experience, training, military experience, education.
- Strong attention to detail and accuracy skills
- Strong organization, multitasking, and prioritization skills, including time management
- Excellent verbal, written and interpersonal communication skills
- Excellent service focus, including responding to requests in a timely manner
- Intermediate Microsoft Office Skills
- Financial industry experience
What You Will Be Doing
- Support Business Execution; proactively seek ways to improve processes.
- Perform moderately complex administrative support tasks.
- Receive direction from supervisor and escalate non-routine questions.
- Interact with client personnel on a range of information.
- Maintain real-time tracking of each candidate’s progress through the Pre-Registration process.
- Review Pre-Registration forms for completeness and accuracy prior to submission.
- Ensure all required information is present using the provided checklist.
- Respond promptly to requests and inquiries to prevent delays in the onboarding process.
- Compile and submit batch upload spreadsheets for background checks using the provided framework.
- Serve as the primary point of contact between Pre-Registration/Registration teams and employees/managers.
- Coordinate requests and gather necessary documentation or information as needed.
- Facilitate a smooth handoff of candidate files and status updates to the Registration team for next steps.
- Conduct thorough reviews of applicants’ Pre-Registration backgrounds.
- Submit fingerprints to FINRA in accordance with regulatory requirements.
- Process amendments to Form U4 as needed.
- Collect, organize, and retain all relevant documents for each applicant’s Registration file.
- Organization: Maintain structured workflows and accurate records.
- Attention to Detail: Ensure completeness and compliance in all submissions and communications.
- Communication: Foster clear, timely, and professional interactions across teams and stakeholders.
